Booking conditions

Booking conditions/Skafur-Tour

The following terms and conditions are applied to all services sold by Skafuuri Oy. You will be bound by these terms and conditions after a booking confirmation has been sent to you. Please read these terms and conditions carefully.

1.Contract

After you have sent us a booking request, we shall check the availability and send you an offer for approval. If we cannot confirm your booking according to your request, we shall send you a counteroffer. A contract is valid only after a booking fee has been paid. 

2.Financial protection of pre-payments

We hold a lisence to  act as a tour operator and as a tour broker granted by Kuluttajavirasto (Consumer Bureau of Finland)  under number 2465/14/Mj,Mv.

All the companies (our company is called Skafuuri Oy) that are financially protected are listed at: https://kkv.fi/en/facts-and-advice/travelling-and-travel-agencies/register-of-package-travel-agencies/

What this means is that we have lodged a security as collateral against advance payments for package tours.  

3.Payment

Once your order has been confirmed the total price is due and is payable as follows:

  • more than 60 days before the start day of your activity or tour: a deposit of 30%, the balance is due 45 days before the start date
  • less than 60 days before the start day of your activity or tour: the full balance is due immediately

Tailormade tours:  

Skafuuri Oy charges a planning fee of 50€/day for tailormade tours over 3 days long, f.ex. a tour of 5 days would be 250€. This fee will be charged before tour planning takes place and counted as part of the tour price, if a booking is made. If no booking is made, planning fee will not be refunded. Please note that the planning fee will not be applied to small adaptations to existing online tour plans.

4.Cancellations

Contract between you and Skafuuri Oy is binding after a booking fee is paid. The date of cancellation is the date, when Skafur-Tour has received the cancellation note in written. The person, who made the booking, is responsible for cancelling the tour/activity in time. 

Our cancellation rules are different depending on the type of purchase. 

The person, who made the booking, is able to cancel 20% of the participants 45 days before the start date of the activity or tour in case the minimum number of participants still is fulfilled.The tour operator has the right to reprice the activity/tour meeting the new number of participants.

If the entire group wished to make a cancellation, the following conditions are applied:

Group over 10 passengers or tailormade package tour 

  • more than 45 days before the start date of the tour           50€/travel day, f.ex. a tour of 3 days 150€
  • 22-44 days before the tour                                                 30% -> refund 70%
  • 7-21 days before the start date of the tour                         50% -> refund 50%
  • 4-7 days before the start date of the tour                           75% -> refund 25%
  • less than 3 days before the start date of the tour               95% -> refund 5%

Ready-made tour package or combination of ready-made packages / less than 10 participants: 

  • more than 45 days before the start date of the tour           50€ 
  • 22-45 days before the tour                                                 30% -> refund 70%
  • 7-21 days before the start date of the tour                         50% -> refund 50%
  • 4-7 days before the start date of the tour                           75% -> refund 25%
  • less than 3 days before the start date of the tour               95% -> refund 5% 

Group activity or activity package (no accommodation or transfer included) under 24h / over 10 participants (does not apply to Sampo icebreaker cruises) 

  • more than 21 days before the start date of the activity       50€
  • 7-21 days before the start date of the activity                     50% -> 50% refund
  • less than 7 days before the start date of the activity          100% -> no refund

Individual activity or activity package under 24h (or more but no accommodation or transfer included) / under 10 participants (does not apply to Sampo icebreaker cruises) 

  • more than 21 days before the start date of the activity       0€
  • 7-21 days before the start date of the activity                     50% -> 50% refund
  • less than 7 days before the start date of the activity          100% -> no refund

Exception 1 / Sampo icebreaker cruises as activity or as part of the package tour: 

  • more than 2 months before the cruise                                   0€  
  • 2 months or less before the cruise                                         100%

Exception 2 / Holiday season accommodation (f.ex 15.12.-6.1.) 

  • more than 2 months before the tour                                 0€  
  • 2 months or less before the tour                                       100%

 

There are special circumstances, which make it possible for a client to cancel he/his booked tour:

  • major changes in travel arrangements by the tour operator
  • life threatening conditions in holiday destination
  • change of travel timing
  • mistake in tour production

5.List of participants

The final list of participants divided in rooms, if accommodation is included, is to be delivered to Skafur-Tour 4 weeks in prior to the tourto the address: sales@skafur-tour.fi. The same goes to any special wishes and special arrangement details (f.ex. arrival and departure times).  

6.Price

Only those services mentioned in the booking confirmation are included in the price. Administration cost is 16€/order for package tours and 8€/order for activities. There is no administration fee for orders of single activities under 500€.

7.Corporate customers

Value added tax is included in the prices and is collected according to the instructions given by the Finnish taxation officials. Please note! In order to be able to deliver an invoice wth VAT specifications, you need to inform us the corporate identification number! European customers must deliver their VAT number in EU format.

8.Travel documents

The travel documents necessary will be delivered to the person who ordered the activity/tour latest 7 days before the start date of the activity/tour by e-mail or directly to the mobile phone. If tour/activity is purchased less than 7 days before the tour, the travel documents are delivered by the tour begins.

9.Tour operator right to cancel the activity/tour

The activity/tour operator has the right to cancel the activity/tour 60days in prior to the start date of the activity/tour if the number of the participants does not meet the minimum requirement or in case of force majeur (typically wheather conditions). In this case the customers get a full refund of their payments unless a new date has been agreed. 

10.Travel insurance

Each customer makes sure that they do have a valid travel insurance covering traveling in destination countries and the activities included in their tour. 

11.Changes

Skafur-Tour is not responsible for changes made by the activity/tour organiser.  Activity/tour organiser reserves the right to make small changes to the activity/tour program. 

12.Passport, visa and vaccination

The participants are themselves responsible for obtaining passport, visa and the vaccinations necessary for travelling in Finland.

13.Complaints

Please inform us for all the mistakes as soon as possible after the reason for the complaint occured to: sales@skafur-tour.fi or by calling the number +358 45 173 8979. In most cases we can correct the mistake right away. if we have not been informed about this kind of a mistake during the tour, no complaint can be made after the tour. 

Any other, more general claims must be delivered in-written to the e-mail address above within 1 month after the activity/trip ended. Skafur-Tour will respond within 1 month after receiving the claim. In case the parties do not end up in mutual understanding the person who made the booking is able to make a complaint to the Finnish Competition and Consumer Authority.  

14.Compensation of damages

The person who ordered the activity/tour is responsible for compensating any damages caused by the group.  

Concerning damages occuring during air-, seaborne- or railway transportation, the compensation for damage shall be determined according to the regulations or contracts which the transport company acting as subcontractor applies in his own business actions.  

Otherwise the Package tour terms and conditions are applied. The service provider and the role of Skafur-Tour is specified by products in the fact box on each product page.
